Registration, Tuition and Hotel Policies

Print this article

Register Early
Space is limited and we usually begin advance work for each program eight weeks before a seminar begins, so we strongly recommend you register early to reserve a space.

Cancellation Policy
We understand that business or personal matters can interfere with your plans to attend an API seminar. We do our best to be flexible by suggesting you send someone else in your place, or, in some instances, by allowing you to register for a later program instead.

For cancellations more than four weeks from the seminar start date, API retains a $100 cancellation fee. For cancellations within four weeks of the seminar, the penalty is 50 percent of the tuition. Within two weeks, the full tuition is due. There is no penalty if you send someone else in your place.

Tuition Payment
API is a non-profit organization that derives about half of its income from tuition and the remainder from contributions. We do everything we can to keep seminar tuition costs as low as possible. We ask that all tuitions be prepaid, and to avoid foreign funds charges, we ask that all international registrations, including those from Canada, be prepaid in U.S. funds. International attendees may pay their tuition by credit card or by international wire transfer. If you would like to pay your tuition by wire transfer, please contact the API registrar to make arrangements. We cannot accept payment presented to us in foreign funds.

Seminar tuition includes the cost for morning and afternoon refreshments, seminar group lunches and some group dinners.

Fellowships
API has fellowship money available to help defray tuition and sometimes travel costs for a variety of its seminars. More information and instructions on how to apply are available here.

Travel
Most of our programs are conducted in API's facility in Reston, Virginia, in the Dulles Technology Corridor just outside Washington, D.C.. They are three to five days long.

For Reston-based seminars, please make travel arrangements that will enable you to be at the API building for a coffee reception with fellow seminar members at 8:00 am on your first morning, usually Monday. Most seminars end by 12:30 p.m. on the last seminar day. Please do not book return flights that leave before 2:30 p.m. from Washington Dulles International Airport, which is nearby and the most convenient destination. For flights out of Ronald Reagan National Airport, do not book return flights that leave before 3:30 p.m. Please consult with API to confirm the end time of your seminar before booking a return flight.

Hotel and Meals

For 2008, attendees at API seminars in Reston will be housed at the Hyatt Regency Reston, conveniently situated to shops, entertainment and dining in Reston Town Center. The nightly rate for seminar attendees is $245, which is a separate charge not included in your API tuition.

Our hotel accepts all major credit cards and also will accept personal or company checks at check-in for your total expected charges. Although API guarantees your hotel room for late arrival on the first night, all charges are your responsibility at checkout.

For seminars outside Reston, our goal is to provide the same level of service and convenience at a cost that reasonably reflects local conditions and the amenities of the conference facility. We seek the best value we can find for you.

Newspaper Next Workshops
Newspaper Next workshops do not come with hotel/meal packages. API will provide lists of hotels close to the workshop facilities, but attendees will need to make their own hotel reservations.

Travel Savings

We suggest you make air reservations far enough in advance to qualify for discounts and promotions; an extra night's lodging is almost always offset by weekend fare savings. And, an extra day for sightseeing is an inexpensive and much-appreciated bonus.

Our goal is to make lodging and meals an integral part of a seamless seminar experience. For this reason, we ask that all seminar members stay at the same hotel and have their meals together. We also ask that you not bring family members or other companions with you. Ask any of our nearly 40,000 alumni: An API seminar will fully occupy your time.

Program Changes
Some details of our non-Reston programs are still to be decided and some programs may be added to the schedule later. We strive to do everything we can to ensure that what's covered in your seminar will be as up-to-date as possible.
